Before You Begin
Make sure you have:
- An active Jane account as the Account Owner or an active practitioner.
- An active Practice Better account (Professional plan or higher recommended for full import features).
- Export permissions enabled in Jane.
- Time set aside to complete the export/import process.
💡 Tip: Only Jane Account Owners or the original author of the client charts can request a bulk export. For security and privacy purposes, only the Jane Account Owner is sent the link to download the chart zip file, which can then be passed off to a practitioner team member.
Understanding Data Ownership
Your client data is always yours.
In Jane, the Account Owner is recognized as the legal owner of the data. This person controls access to exports and receives all download links.
- Only the Jane Account Owner or the original chart author can request a bulk client export.
- Exported data is always delivered to the Account Owner, who can then securely transfer files to the practitioner.
- You retain full ownership of your client records, notes, and billing information.
- Practice Better never claims rights to your data — we simply provide a secure platform for storage and management.
- You are responsible for securely handling exported files during the migration process.
- Once imported, your data will be encrypted and protected according to industry-standard security protocols.
Step 1: Export Data from Jane
The Jane Account Owner must email Jane’s Support team to request data exports.
Exporting Client Charts
To export chart notes authored by a practitioner:
- The Account Owner or an active practitioner must email Jane Support (support@janeapp.com) to request the export.
- Jane will generate a bulk export containing:
- PDFs of all chart entries authored by the practitioner.
- An Excel file mapping chart entries to the correct client profiles.
- The export link is emailed to the Account Owner only.
- The link must be downloaded within 7 days or it will expire.
📍Note: Documents uploaded by a practitioner to a client’s profile in Jane will be included in the batch chart export, as long as the practitioner is the file’s author. Intake forms and consents are not included in practitioner chart exports.
Exporting Intake Forms
If you also need completed client forms:
- The Account Owner must email Jane Support (support@janeapp.com) to request the export.
- Jane will generate a .Zip file of all completed client forms in the account.
- These are not filtered by practitioner, but can be paired with the Patient/Client List report to match forms with the correct clients.
Exporting Client Demographics
To export client demographics:
- Go to Reports > Patient List in Jane.
- Filter the report to a single practitioner (if needed).
- Click the More Options menu (3 dots) > Export to CSV.
- Save this file for upload into Practice Better.
This export includes additional fields such as first and last visit dates, even if not visible in the preview.
Exporting Services (Products)
- In Jane, go to Reports.
- Under the Billing heading, click on Inventory.
- Click the Export button near the top-right of the report page and Export to CSV.
- You may remove products that don’t apply before importing elsewhere.
Exporting Appointments
- In the Reports tab in Jane, under Appointments, click on Appointments.
- Use the Date Range filter to specify whether you want past and/or future appointments. Click the arrow on the left within the date selector to toggle back to the first day appointments were booked.
- Apply any additional filters (by staff member, if needed).
- Click the More Options menu (3 dots) > Export to CSV.
- Save this CSV file to your local computer.
Step 2: Review Your Exported Data
- Open the exported files to confirm the information is complete.
- Check for duplicates or formatting issues (such as inconsistent email addresses).
- Save your files securely on your computer before proceeding.
⚠️ Important: Download data quickly. Jane’s export links expire in 7 days
Step 3: Prepare Your Files for Practice Better
- Ensure each file folder is labeled with client names (e.g., First Name, Last Name, Email).
- If you've exported multiple reports, keep them as separate files.
- Remove any unnecessary columns from Excel files (such as internal Jane-only identifiers).
💡 Tip: Practice Better provides a downloadable CSV template during the import process. You can reference this template to see exactly which fields are supported and how they should be formatted.
