The AI Dictation feature lets you speak your notes aloud and have them transcribed in near-real time, directly into your notes, protocols, and programs. It's a fast, hands-free way to capture accurate documentation without breaking your workflow.

Before You Begin
The AI Charting Assistant must be enabled before you can use this feature.

Opening the AI Dictation Hub
AI Dictation is available in the rich text editor of notes, protocols, and programs.
- Open a note, protocol, or program and click into the text area where you want the dictated text to appear.
- Click the microphone icon on the right-hand side of the editor to open the AI Dictation hub.
📍 Note: Click into the specific text area first before opening the hub. Dictation will insert text at the location of your cursor.
Configuring Your Dictation Settings
Before starting your first dictation session, click the gear icon in the AI Dictation hub to access the following settings:
- Select default microphone: Choose which microphone input to use for dictation. This is useful if you have multiple microphones connected to your device.
- Start/stop sound: Toggle the beep sound on or off. When enabled, a beep plays when dictation starts and again when it stops, confirming the feature is active or inactive.
Allowing Microphone Access
When using this feature for the first time, your browser will prompt you to allow Practice Better to access your microphone. Select Allow when prompted.
If you are using Firefox:
Click Allow in the pop-up to grant microphone access.
If you are using Chrome:
Click Allow in the pop-up that appears at the top of your browser window.
If you are using Safari:
Click Allow in the pop-up to grant microphone access. You can update this permission at any time in Safari Settings > Websites.

Using AI Dictation
- Click into the text area where you want your dictated text to appear.
- Click the microphone button in the AI Dictation hub to begin. If the start/stop sound is enabled, you'll hear a beep to confirm dictation is active. The microphone icon will turn red.
- Speak clearly into your microphone. You’ll see the circle change with lines indicating the audio is being picked up. Transcribed text appears in near-real time in the text area as you speak.
For best results, speak at a natural pace in a quiet environment. The more clearly you speak, the more accurate the transcription.
📍 Note: Dictation inserts text at the location of your cursor. If you need to dictate into a different section, stop dictation first, click into the new text area, then start dictation again.
Stopping Dictation
Dictation stops automatically in either of the following situations:
- You stop speaking for 15 seconds.
- You click outside the active text box.
To stop dictation manually, click the microphone button again. If the start/stop sound is enabled, you'll hear a beep confirming dictation has stopped.
📍 Note: Once dictation stops, any text already transcribed remains in the editor. Review and edit your notes as needed before saving.
