When a client signs into their portal for the first time, a welcome video plays automatically to help them get oriented. By default, this is a Practice Better-produced walkthrough video. You can replace it with your own custom video, or disable it entirely.

Changing the Default Welcome Video
To update the welcome video that your clients see:
- Go to Settings & Preferences > Portal Preferences.
- Locate the Client Portal Welcome Video section. Practice Better supports YouTube and Vimeo videos.
- Continue with the steps below, depending on your video source.
If you update the video after some clients have already seen the original, they'll see the new video the next time they sign in and open the setup wizard.
📍 Note: The Video ID field requires only the video ID from your video's URL, not the full URL. Entering the full URL will cause a player error.
Using a YouTube Welcome Video
YouTube allows you to create videos with an Unlisted privacy setting, which keeps your video out of public YouTube search results. Learn more about changing YouTube video privacy settings →
To add a YouTube video:
- Open your video on YouTube and copy the Video ID from the URL. The Video ID is the string of characters after watch?v= (e.g., xB8KW7jO49c).
- In Practice Better, go to Settings & Preferences > Portal Preferences.
- Under Client Portal Welcome Video, select YouTube as the video source.
- Paste the Video ID into the Video ID field.
- Click Save Changes at the top of the page.
Using a Vimeo Welcome Video
Public Vimeo videos
For public videos, copy the numeric Video ID from the Share link popup in your Vimeo dashboard (e.g., 123456789).
Unlisted Vimeo videos
Unlisted Vimeo video URLs contain two parts separated by a backslash (e.g., https://vimeo.com/123456789/77a88b99c). When entering the Video ID, replace the backslash with ?h=.
For example: 123456789/77a88b99c becomes 123456789?h=77a88b99c
To add a Vimeo video:
- Copy your Video ID from the Vimeo dashboard.
- In Practice Better, go to Settings & Preferences > Portal Preferences.
- Under Client Portal Welcome Video, select Vimeo as the video source.
- Paste the Video ID (formatted correctly for unlisted videos, if applicable) into the Video ID field.
- Click Save Changes at the top of the page.
⚠️ Important: If an invalid or broken Video ID is entered, clients will see the message "An error occurred. Please try again later." Double-check the Video ID before saving.
Disabling and Re-enabling the Welcome Video
To disable the welcome video, check the Disable Client Portal welcome video checkbox in the Client Portal Welcome Video section and click Save Changes.
To re-enable it, uncheck the same box and click Save Changes.
📍 Note: Team account members with the appropriate permissions can also update welcome video settings.
How Clients Can Replay the Welcome Video
The welcome video plays automatically the first time a client signs in to their portal. After they dismiss it, they can replay it at any time by clicking the magic wand icon in the top corner of their portal to open the client setup wizard.
