Your Practice Better calendar is where your whole day comes together: sessions, bookings, personal events, and more, all in one place. This article covers how to get to your calendar, change your view, set your display and layout preferences, and filter which event types appear.

Before You Begin
A few related features work alongside your calendar, and it helps to know how they connect before you start adjusting your view.

Turning off birthday events on your calendar does not turn off birthday messages. These are separate features. Filtering birthdays out of your calendar view only declutters your own screen. Learn more about Sending Automated Birthday Messages →

Your calendar and your availability are two connected but separate views. The Calendar page shows your booked events. To edit your actual availability, meaning the time slots clients can book, switch to Availability view using the toggle icon near the top-right of the Calendar page. You can move back and forth between the two at any time. See Switching Between Calendar and Availability Views below.
- Google Calendar sync and calendar filtering are also separate. The External Events filter controls whether synced Google Calendar events display on your Practice Better calendar. It does not control the sync itself. Learn more about Setting Up Your Google Calendar Integration →
Getting to Your Calendar
To open your calendar, go to My Schedule > My Calendar.
This is your home base for reviewing everything that's scheduled: sessions, bookings, personal events, tasks, and more.
📍 Note: When you go to My Schdule > My Bookings, this is a separate page with a different scope. It lists your upcoming and recent sessions in a simple list format, rather than showing your full calendar of events, availability, and personal items. If you prefer a list over a calendar grid for a quick look at sessions, My Bookings is the faster option.
Changing the Calendar View
You can view your calendar events by month, week, or day. To change the view, select the desired option from the tab bar at the top of the screen.
Days with scheduled events help you spot busy stretches at a glance, and the view you choose here also controls what's included when you print your schedule.
Navigating Your Calendar
In desktop mode, use the mini-calendar on the left side to quickly navigate between months, or click a specific date to jump directly to that day in the main calendar.
Days with scheduled events are highlighted in green. The current day appears in a darker shade of green for easy identification.
Changing the Time Zone
Events are displayed according to the time zone set in your profile. To change the time zone, select a new zone from the Time Zone field in the left navigation pane.
A pop-up will appear with two options:
- Update: Permanently changes your profile time zone, used for all future sessions.
- No thanks: Temporarily changes the calendar view without updating your profile settings.
💡 If you're traveling or checking a slot in a client's time zone, use No thanks to preview the change without altering your profile.
Customizing Your Calendar Options
Beyond filtering what appears on your calendar, you can customize how your calendar behaves and displays by default. These settings live on a separate settings page, not on the Calendar page itself.
To get there, use any of these paths:
- Go to My Schedule > Booking & Cancellation Settings.
- Or go to Settings (gear icon) > View All Settings & Preferences > Booking & Cancellations.
- Or, from the Calendar page, click the gear icon in the top-right corner to jump straight to this page.

Calendar Display Toggles
Hide personal event details when team members view my calendar: When enabled, team members with read-only access to your calendar will see your personal events displayed as "Busy" instead of the event details. Team members who have permission to create sessions and events on your behalf will still see full personal event details.

Enable one-click bookings from My Calendar: When enabled, you can quickly schedule one-on-one sessions by clicking on any date on your calendar.
📍 This toggle controls whether clicking a date starts a booking creation. If clicking an open slot on your calendar doesn't start a booking, check that this setting is enabled here.
Jump to Week View when selecting days in mini calendar: When enabled, clicking a date in the mini calendar switches your main calendar to Week view. When disabled, clicking a date switches to Day view instead.
Calendar Layout Preferences
First Day of Week: Choose which day your calendar week starts on, from the standard days of the week.
Default Calendar View (Web Portal): Choose the view that loads by default when you open your calendar on a browser (does not apply to mobile app). Options include Agenda, Day, Week, Month, Team (1 day), and Team (3 day).
Auto-Scroll to Time: Click this field to choose a time your calendar will automatically scroll to when opened. A list of times in hourly and half-hourly increments appears, or you can type in a custom time. Leave this field empty to have your calendar auto-scroll to the current time instead.
Calendar Time Increments: Choose how finely your calendar grid is divided: 10, 15, or 30 minutes.
Session Naming Convention
Choose how session names display across your calendar and session requests.
Options include:
- Session only. Example: Initial Consultation.
- Session and client initial. Example: Initial Consultation (M. Smith).
- Session and client full name. Example: Initial Consultation (Mary Smith).
- Client full name and session. Example: Mary Smith (Initial Consultation).
- Client initial and session. Example: M. Smith (Initial Consultation).
- Client full name only. Example: Mary Smith.
- Client initial only. Example: M. Smith.
Default Task Color
Set the default color used for tasks on your calendar.
Type a hex code directly into the field, or click the color circle to open a picker with Theme Colors and Presets tabs to choose from.
Filtering Calendar Events (Sessions, Birthdays, Personal Events, and More)
If your calendar feels cluttered, filtering can help you focus on exactly what you need to see.
Practice Better lets you filter which event types appear on your calendar, including:
- Sessions.
- Cancelled Sessions.
- Personal Events.
- Booking Requests.
- Pending Client Tasks.
- Fixed-date Programs.
- Client Protocols.
- Birthdays.
- External Events (Google Calendar).
📍 Please note: Filtering is a personal display setting, not a global visibility control. Hiding an event type on your own calendar (like birthdays or personal events) only changes what you see. It has no effect on what clients see on your public Bookings Page, and it doesn't cancel, delete, or hide anything from anyone else.
On desktop:
- Use the Display Options section in the left navigation pane.
- Click the checkbox next to any event type to turn it on or off.
- Your selection saves immediately. There's no separate save button to click.
On mobile:
- Tap the More Options menu (3 dots) near the top of your calendar and select Edit Display Options.
- Choose which event types to show or hide.
- Tap Update to save your changes.
📍 Note: Filter settings are saved separately for web and mobile. Turning off Birthdays in the web portal won't turn them off in the mobile app, and vice versa. You'll need to set your preference on each.
Switching Between Calendar and Availability Views
Your Calendar page and your Availability page work together, but they serve different purposes. The Calendar shows what's already booked. Availability controls what clients can book next.
To switch between the two, use the view toggle icon near the top-right of the Calendar page. This is the fastest way to move from reviewing your schedule to adjusting your open time slots without leaving the page.
