When to Link a Session Manually
Sessions booked directly through a client's package link automatically. You may need to link a session manually in the following situations:
- A session was booked as a one-off booking and you want it to count against the client's package.
- A session was booked but didn't link to the package automatically.
- You edited the package's services after sessions were already booked, and existing bookings were not linked as a result.
📍 Note: A session can be linked to any active client package, regardless of whether the session's service type matches the services included in the package. However, a session can only be linked to one package at a time.
Linking a Session to a Package
Sessions can be linked from the client's Bookings & Packages page, or from the Schedule > Bookings list. The option is not available from the session details page.
- Go to My Clients > [Select client] > Bookings & Packages.
- Locate the session in the Bookings tab. To view past sessions, click the x on the Today/Upcoming filter to remove it. You can also use the Filter options to narrow results by session date, confirmation status, practitioner, or payment status.
- Click the More Options menu (3 dots) next to the session.
- Select Link to package.
- In the pop-up, select the package you'd like to link the session to.
- You’ll see the session save with a package (gift) icon.
Understanding Package Session Count After Manually Linking a Session
When you manually link a session to a package, what happens to the session count depends on the service type of the session being linked:
-
If the session's service type matches a service already included in the package: The session count updates automatically. The linked session will count against the client's remaining sessions for that service.
-
If the session's service type is not included in the package: The session will appear in the package's Scheduled Bookings list, but the session count will not update automatically. You'll need to update the count manually to keep it accurate.
📍 Note: The session count on the package (Total sessions and Sessions remaining) reflects what's configured in the package's Sessions & Services settings, not just the number of sessions physically linked to it.
Updating the Package Session Count
If you've linked a session whose service type isn't included in the package, update the package's session count to keep it accurate.
- Go to the client's Bookings & Packages > Packages page.
- Click the More Options menu (3 dots) next to the package and select Edit package.
- Under Sessions & Services, do one of the following:
-
If the service is already listed: Click Edit next to the service and increase the session count to account for the newly linked session.
-
If the service is not listed: Click Add another to add the service and specify the number of sessions to include.
-
If the service is already listed: Click Edit next to the service and increase the session count to account for the newly linked session.
- Repeat the above steps until you have satisfied the package’s requirements.
- Click Save Changes near the top-right.
Unlinking a Session from a Package
You can remove the link between a session and a package at any time. Unlinking a session removes the "Booked from package" indicator from that session and adjusts the package's session count if the service type was included in the package.
- Go to My Clients > [Select client] > Bookings & Packages.
- Locate the session in the Bookings tab.
- Click the More Options menu (3 dots) next to the session.
- Select Unlink from package.
- Click the Unlink button in the confirmation pop-up.
📍 Note: Unlinking a session does not cancel it. The session will remain on the client's bookings list as a standalone booking.
