A dedicated fax number lets you send and receive faxes directly in Practice Better, all without a physical fax machine. This article covers how to get a new number, transfer an existing one, and release a number when you no longer need it.

Getting a Dedicated Fax Number
Dedicated fax numbers are included in the Plus and Team plan subscriptions and are available for Canadian and US area codes only.
- Go to Settings > All Settings & Preferences.
- Select Faxes from the menu.
- Under the Send & Receive Faxes section, click Add number.
- In the pop-up, enter your preferred area code and click Search to see available numbers.
- Click Select next to the number you want.
- Confirm your selection. Your number is registered and ready to use immediately.
- Click the Copy button to copy and share your new fax number.
📍 Note: Only Canadian and US area codes are supported.

Transferring an Existing Fax Number
You can transfer an existing fax number to Practice Better instead of getting a new one. To do this, you'll need to sign a Letter of Authorization (LOA) and provide proof of ownership. The Practice Better team will initiate the port with your current provider once your submission is complete.
Before you start, prepare the following:
- A signed Letter of Authorization (LOA).
- Proof of ownership of your fax number. This can be a copy of your most recent bill or a screenshot of your account portal showing the fax number.
📍 Note: The information on your LOA and billing details must exactly match the information on file with your current fax service provider.
To submit your transfer request:
- Go to Settings > All Settings & Preferences > Faxes, then click Add number.
- In the pop-up, click Transfer my number in the bottom-left corner.
- In the Transfer My Fax Number pop-up:
- Click Review & Sign to complete your LOA, then attach the signed PDF.
- Attach your proof of ownership document.
- Click Continue.
- Enter your fax number and billing information, then click Submit.
The transfer process takes up to 4 weeks. You'll receive a notification once your number has been successfully transferred, or if additional information is needed to complete the process.
Releasing Your Dedicated Fax Number
You can release your dedicated fax number at any time.
- Go to Settings > All Settings & Preferences > Faxes.
- Under the Send & Receive Faxes section, click the More Options menu (3 dots) next to your number.
- Select Release number.
- Confirm your choice by clicking the checkbox and clicking the Release button in the confirmation pop-up.
⚠️ Important: Any faxes sent to this number after release will not be received. Your number is reserved for 15 days in case you need to re-register it.
