Group sessions can be scheduled for any fixed-date program in Practice Better. This article will guide you through the process of setting up your program's group sessions and adjusting the relevant settings.
You'll first need to create a Group Service to use when scheduling sessions in your Program.
Group Session Settings
Before scheduling group sessions, review your program settings to configure the session notifications your clients will receive after enrolling in your program.
- Go to your My Practice > My Programs.
- Click Edit next to your program.
- Click the Advanced Options tab
- Locate the Group Sessions section.
Automatically add new enrollments to upcoming sessions
- Enable the option to Automatically add new enrollments to upcoming sessions if you want new enrollments to be automatically registered for group sessions associated with your program.
- Optionally, enable Mark sessions confirmed on behalf of auto-enrolled clients to automatically confirm attendance for clients. With this option enabled, clients won't see the button to confirm their attendance in confirmation and reminder emails.
Send confirmation/reminder notifications for upcoming sessions
- Enable Send confirmation... or Send reminder notifications for upcoming sessions to send emails to clients.
- Consider disabling these options if you are also sending module welcome emails on the same day as your sessions.
- In this scenario, you may want to use the module's welcome email to provide clients with details on the scheduled session for that day instead of sending two separate notifications.
Scheduling a Group Session
Once you've adjusted your program's group session settings, you can schedule sessions from the program's Overview page.
- Go to My Practice > My Programs.
- Click Edit next to your program.
- Select Schedule session from the Fast Action Button in the bottom-right corner.
- By default, all currently enrolled clients will be added to the session.
- If desired, you can remove specific clients before confirming the session by clicking the remove icon next to their name.
Note: Group sessions associated with programs are private by default, even if they overlap with availability you've set up for the same service.
