Before You Begin
- This integration is available to US-based practices on the Starter plan and up.
- You'll need an active Rupa Health account.
- Each team member connects their own Rupa Health account, and can only place orders for themselves.
A few things worth knowing before you connect:
- Rupa Health is one source that feeds your practice's shared My Practice > Labs page. It doesn't replace or gate that page, so you may still see labs from other sources there.
- Linking your account only authorizes the connection. It doesn't import any patients or lab orders that already existed in Rupa Health before you linked. Only orders placed after linking will sync to Practice Better.
Linking Rupa Health to Practice Better
Once you have a Rupa Health account (new or existing), link it to Practice Better to start ordering labs.
- From Settings & Preferences > 3rd Party Integration, click Link next to the Rupa Health integration.
- A pop-up will prompt you to sign in to your Rupa Health account. Enter your credentials and click Sign In. If you're already signed in to Rupa Health, this step may be skipped automatically.
- Review the permissions requested and authorize the connection.
✅ You're linked. Head to the next section to place your first order.
Ordering Rupa Labs from Practice Better
- Go to My Practice > Labs, then click the Fast Action Button in the bottom-right corner.
- Select Create Rupa Order from the options provided.
- Select the client the order is for.
- A Rupa Health window will open to an order page. Add the tests you need and submit the order. If a matching patient (same name and email) doesn't already exist in your Rupa Health account, one will be created automatically.
- By default, orders are patient-pay. If you'd rather cover the cost yourself, select the practitioner-pay checkbox before submitting.
- Once the order is submitted, return to Practice Better and close the Rupa Health window. Your order will appear on the My Labs page of Practice Better within a few moments.
What Happens After You Submit an Order
Once a lab order is submitted, Rupa Health takes over communicating with your client directly.
Here's what they can expect, so you know what to tell them:
- Your client receives an email notifying them that a lab has been ordered.
- If the order is patient-pay, they'll need to provide shipping information and payment before the test kit ships.
- Once shipped, they'll receive a shipment confirmation email with an estimated arrival date.
- Two days after shipping, they'll receive a follow-up email with instructions for completing and returning the test.
💡 Letting your client know to expect these emails, especially the shipping and instructions emails.
Viewing and Managing Rupa Health Lab Results
All completed lab result documents sync automatically from Rupa Health into Practice Better. View and manage them by navigating to My Practice > Labs.
- Pending labs won't appear in Practice Better until they're completed. If an order includes multiple tests, only the completed ones will display; the rest will appear once finished.
- Click the More Options menu (3 dots) next to a lab to edit, share, resync, or delete it quickly.
- Click a lab's title or its View button to open the full order, view result documents, and add annotations.
- Sharing a lab through Practice Better is a separate action from anything your client may already see through their own Rupa Health patient account, if they have one. Syncing a result into Practice Better doesn't automatically share it with your client here; you'll need to share it yourself using the steps below.
Viewing Lab Result Documents
- Click View next to a lab result to open the document.
- Use the document viewer menu to zoom, pan, search keywords, and adjust view options like orientation, dark mode, or full screen.
- Minimize the viewer or download the result directly from this window.
Annotating Labs
- Click Annotate on a lab to add a note.
- By default, annotations are private to you. Enable Share Note With My Client to make a note visible to them, with the option to send a notification.
- You can change an annotation's sharing setting at any time. Each annotation displays an icon showing whether it's private or shared.
Resyncing Lab Details
If a lab result looks out of date or incomplete, you can manually pull the latest details from Rupa Health without waiting for the next automatic sync.
- Click the More Options menu (3 dots) next to the lab or open the Lab Details page.
- Select Resync Rupa Details.
Archiving and Deleting Labs
- To archive a shared lab, open it and select Archive. Archived labs are removed from your Client Portal but remain visible to you in the practitioner portal.
- To permanently remove a lab, select Delete. Once deleted, it's no longer accessible to you or your client.
Linking and Unlinking Rupa Health Clients to Practice Better Client Records
Clients who share the exact same name and email address in both Rupa Health and Practice Better are matched automatically; you won't need to link them manually.
If there's any variance in name or email, you'll need to manually link the Rupa Health patient to the correct Practice Better client record.
Unlinked results display with the Rupa Health patient's name rather than the name on file in Practice Better.
- Click the More Options menu (3 dots) next to an unlinked result and select Link to Client.
- Choose the corresponding Practice Better client. Once linked, the record's name updates to match the one on file in Practice Better.
- Future labs for this Rupa Health patient will match to this client record going forward. You can undo this at any time.
Once a client is linked, you'll have the option to share the result with them through Practice Better.
Unlinking Client Records from Rupa Health Patients
- Open the client record and navigate to Labs.
- Click the More Options menu (3 dots) and select Unlink Rupa Patient.
- Confirm the warning to continue.
Once unlinked, all new and historical labs for that Rupa Health patient will no longer be associated with the client record. Unlinked records can be linked or relinked at any time.
Ordering Labs for Family Sub-Records
Rupa Health matches patients by email address only. It doesn't recognize Practice Better's family sub-records as separate people the way Practice Better does.
The first time you order a lab for a sub-record (for example, a child linked to a parent's family record), Rupa Health may open the order against the parent's existing patient profile instead of creating a new one.
To make sure the lab links to the correct sub-record going forward:
- Start a Rupa order from Practice Better as usual. Go to My Practice > Labs, click the Fast Action Button, and select Create Rupa Order.
- In the Rupa Health window that opens, create a new patient profile using the sub-record's first and last name, along with the family's shared email address. Do not use the existing parent patient profile.
- Add the test to the cart and complete the order from within the Rupa Health window.
- Once the order is confirmed, return to Practice Better and close the Rupa Health window.
📍 This extra step is only needed the first time you order for a new sub-record. Once Rupa Health has a matching patient profile for them, future orders will sync to the correct sub-record automatically.
