Practice Better maintains a detailed record of actions taken across your account, giving you a clear, searchable history of what happened, when, and by whom. This article explains what the Activity log tracks, who can access it, and how to export it.

What the Activity Log Tracks
The Activity log records actions taken by practitioners and team members. It does not capture actions taken by clients.
Logged events span every major area of Practice Better, organized across the following categories:
- Account and security: sign-ins, sign-outs, failed sign-in attempts, password and username changes, two-factor authentication, and passkey updates.
- Team management: inviting, activating, deactivating, archiving, and deleting team members; creating and updating roles; transferring account ownership.
- Client management: adding, activating, deactivating, deleting, restoring, merging, and importing clients; family record changes; tag updates; client data exports.
- Client health data: viewing and updating blood measurements, body measurements, diet and lifestyle data, medical history, journal entries, and targets.
- Clinical records: creating, updating, sharing, downloading, and deleting notes and protocols; restoring previous versions.
- Forms and agreements: sending, viewing, annotating, and deleting submitted forms; importing forms into client files; creating and updating form templates and form mappings; disclaimers.
- Scheduling: booking, updating, cancelling, and deleting sessions and packages; managing availability and events; sending session and package notifications.
- Invoices and billing: creating, updating, publishing, refunding, and exporting invoices; processing and skipping payment plan installments; managing superbills, claims, and insurance codes.
- Payments: Practice Better Payments account setup and changes; linking and unlinking accounts; managing client payment methods, coupons, credits, and card readers.
- Subscription and add-ons: creating, updating, cancelling, and reactivating subscriptions; purchasing and cancelling add-ons; updating billing information.
- Programs and automations: creating, updating, archiving, and deleting programs and automations; managing client enrollment and module access.
- Communication: starting and deleting chats and video chats; sending, scheduling, and deleting chat messages and broadcast messages; managing recordings and transcriptions.
- Faxes: sending and resending faxes; registering and releasing fax numbers; linking clients to fax; port requests.
- Labs and recommendations: creating, updating, archiving, and deleting labs and recommendations; managing recommendation templates.
- Tasks: creating, updating, completing, and deleting tasks and task templates.
- Resources and files: uploading, downloading, sharing, and deleting files; managing resources, snippets, tags, search filters, dashboards, and reports.
- Integrations: linking and unlinking third-party accounts including Fullscript, Wellevate, WholeScripts, Rupa, Evexia, Nutri-Q, Whole Practice, NTA NAQ, Natural Dispensary, That Clean Life, Zoom, Google Calendar, Google Drive, Google Sign In, Apple Sign In, Zapier, Dropbox, Facebook Pixel, Google Analytics, Claim.MD, and others.
- Settings: updating notification preferences, messaging preferences, system of measurement, company profile, portal preferences, regulatory compliance information, and other account settings.
- API and developer tools: creating, updating, and deleting API keys; managing webhook subscriptions and secrets.
📍 Note: Activity logs retain approximately 6 months of history. The Activity log does not record actions taken by clients, such as client portal logins.
Who Can Access the Activity Log
The Activity log is available on all Practice Better plans. Access is restricted to:
- The team owner
- Team members with the "View activity logs" permission enabled
To grant or adjust this permission for a team member, update their role settings under My Team.
📍 Note: Practice Better does not send automated notifications for account changes. Reviewing the Activity log directly is how you monitor account events.
Navigating to the Activity Log
- Click the Settings (gear) icon near the top-right of your portal and select All Settings.
- Under the My Team heading, click Activity.
- Use the available filters to refine your view by team member, event type, or date range.
Filtering and Exporting Activity Logs
Use the filters at the top of the Activity page to narrow results by:
- Team member
- Specific activity event
- Date range
To save your results, click Export near the top-right of the page. This downloads a CSV file you can open in Google Sheets, Excel, or Numbers.
The export includes the following columns:
- UTC Date
- Team Member
- Email Address
- Activity
- Notes
- Client
- IP Address
- Request Info
- Time Zone
📍 Note: All timestamps in the Activity log CSV export are recorded in UTC.
IP Address and Location Data in Activity Logs
Every entry in the Activity log includes the IP address of the person who performed the action. This applies to all logged events, not just a specific category.
For actions taken by team members, the IP address reflects the device and location of the practitioner or team member who performed the action. For client form activity, such as viewing, signing, or completing a form or waiver, the IP address reflects the client's device and location at the time of submission.
This information is visible in the practitioner portal only. Clients do not have access to the Activity log or its contents.
The IP address and time zone data can be useful for:
- Verifying where and when a specific action was taken.
- Confirming that a client completed a form from their own device.
- Reconciling activity across team members in multi-location or multi-practitioner practices.
