What is a Permission Tag?
A permission tag is any tag that is used to restrict access to clients in your account.
For example, let's say you have a team member Sarah and you want her to only access a subset of your clients. You would first create a tag called "Sarah Smith Clients" and then associate the tag with Sarah's role on your My Teams page.
You can then assign the tag to each client Sarah can access in her portal.
Associating a Tag with a Role
A tag is considered to be permission-based when it is associated with one or more roles. You can associate tags with roles on your My Teams page.
Associating a Tag with a Role
A role can be associated with one or more team members. For example, you can create a role called "Scheduling Assistant" which restricts access to booking and managing appointments and does not allow access to chart notes and protocols.
Let's say you've created a tag for clients at a specific location ("Green Street Clinic Clients") and you only want your scheduling assistants to manage bookings for these clients.
On your My Teams Page, click Edit next to the Scheduling Assistant role:
Enable the "Restrict access" checkbox, then select the Green Street Clinic Clients tag from the list:
Associating a Permission Tag with a Specific Team Member's Role
You may want to associate the permission tag with a specific team member. For example, you've set up a role for all nutritionists on your team but want to assign specific clients to each nutritionist (e.g. "Adana's Clients", "Jessica's Clients", etc).
Click Edit role next to a team member in the Team Members section:
Enable the "Restrict access to specific clients?" checkbox, then select the required tag from the list:
Allowing Team Members to Assign Permission Tags To Clients
By default, only the team owner can apply permission tags to clients. You can allow team members to assign permission tags by enabling the following permission in a role:
When the permission is enabled, any team member assigned to this role will have:
- The ability to view all clients in your account. You cannot restrict access to a subset of clients for any team member with this permission.
- The ability to control access to clients for team members who have permission tag-based roles.
