This guide shows how account owners on a Team plan can set up an automation to add or invite new clients using Automations. Users can name the automation, decide whether to grant Client Portal access, enable journal entry access, limit triggers to certain services, and apply client tags.
💡 In a Team plan, this Automation type is only available for the account owner. Team members should use the different automation types to confirm bookings and packages, and can also choose to invite clients to the portal.
Setting Up Your Automation to Add or Invite New Clients
- Go to My Practice > Automations.
- Click on the Fast Action Button in the bottom right corner.
- From the pop-up, choose Add/invite new clients.
- Name your automation.
- Choose whether to give new and/or existing clients access to the Client Portal at this time.
If you enable this option, clients will receive an invitation to join Practice Better and activate their accounts.
- For invited clients, you can give access to client Journals and specific entry types by enabling the respective checkboxes.
- Optionally restrict this automation to trigger for specific services, packages, or programs.
- Additionally, you can choose to automatically apply or remove client tags.
- Once all settings are configured, click Create to save your automation.
📍 Note: When new clients are added by Automation, their time zone will default to their local time zone.
