Set up an automation to confirm package requests from your Public Bookings Page or Client Portal, so clients get their package without waiting on you. This article shows you how to create the automation, manage it, share it with your team, and how it fits with related automations.
Before You Begin
-
Client requests only. This automation confirms packages that clients request from your Public Bookings Page, a booking link, or the Client Portal. When you add a package to a client yourself, the package is saved as confirmed right away, so the automation does not apply.
-
Clients get an email. When the automation confirms a package, the client receives a confirmation email.
-
The automation applies to every package you select. Choose the packages in the automation settings.
- One automation per package. Do not include the same package in more than one package confirmation automation. When two automations match the same package it may cause a conflict and result in unexpected behaviour.
Setting Up Your Package Confirmation Automation
- Go to My Practice > Automations.
- Click the red Fast-Action Button in the bottom-right and choose Confirm new package requests.
- Name your automation.
- Choose which package(s) you want to auto-confirm.
- Choose whether to give the client Client Portal access. This option is on by default. Clients are sent an invitation to join Practice Better and activate their account. A client who already has Client Portal access is not invited again.
- For invited clients, you can also provide access to Journals and entry types by enabling the checkboxes.
- Optionally, choose to automatically apply or remove tags when this automation is triggered. Learn more about Organizing Clients Using Tags in Practice Better →
- Click Create to save your automation.
📍 Note: If a client is deactivated, they can still request a package from a booking link, and the automation confirms the package. The automation does not send a Client Portal invitation to a deactivated client, even when the invitation option is on.
Managing Your Automation
Go to My Practice > Automations to make changes at any time.
-
Edit: Click Edit next to the automation.
-
Disable: Click the More Options menu (3 dots) next to the automation, select Disable, and confirm in the pop-up.
-
Enable: Click the More Options menu (3 dots) next to a disabled automation and select Enable. The automation turns on right away with no confirmation pop-up.
- Delete: Click the More Options menu (3 dots) next to the automation, select Delete, and confirm in the pop-up.
Sharing This Automation on a Team Plan
On a Team plan, click the More Options menu (3 dots) next to the automation and select Manage Sharing to share it with team members.
⚠️ Important: After you share the automation, enable it for each team member. Shared automations stay off for a team member until you select their name from the team member drop-down list and enable the automation for them.

FAQ: How This Automation Relates to Other Automations
Q: Does confirming a package automatically send intake forms?
A: No. Confirming a package, whether you do it yourself or an automation does it, is a separate event from sending forms. To send forms once a package is confirmed, set up a dedicated automation. The forms automation runs when a package is confirmed by you or by this automation.

Q: How is this different from confirming one-on-one bookings automatically?
A: They are separate automations. This one confirms package requests, and the booking automation confirms one-on-one session requests.

Q: How is this different from the Add/Invite New Clients automation?
A: Add/Invite New Clients is a separate automation that the account owner sets up for the whole practice. This package automation applies only to the packages you select.
