The Client Hub is a floating panel that lets you reference key information from a client's file — without leaving what you're working on. Whether you're writing a session note, building a protocol, or conducting a telehealth session, the Hub keeps everything you need within reach.

What Is a Client Hub?
Think of the Client Hub as your at-a-glance reference panel for a client's file. It opens as a floating window on your screen — resizable and repositionable — so you can keep it visible while continuing to work in Practice Better. Hubs stay open even as you navigate to different sections of the portal, making them especially useful when you need to reference information across multiple areas of a client's record.
From a Hub, you can view the following sections of a client's file:
- Recent Activity
- Basic Information
- Medical History
- Diet & Lifestyle Profile
- Notes
- Recordings
- Protocols
- Completed Forms
- Labs
You can also search within a client's file directly from the Hub using the search bar at the top.
📍 Note: Client Hubs are available on the web version of the Practice Better portal only. They are not available in the mobile app.
Launching a Client Hub
There are several ways to open a Client Hub, depending on where you are in the portal.
From the My Clients Menu
- Click My Clients in the top navigation bar.
- Locate a pinned client in the list.
- Click the Client Hub icon to the right of the client's name to open their Hub.
From the Global Search Menu
- Click the search bar at the top of the portal and type the client's name.
- Find the client in the search results.
- Click the Client Hub icon to the right of their name.
From a Text Editor
If you're working on a session note or protocol, you can launch a Hub directly from the writing interface.

- Open a session note or protocol.
- Click the Open Client Hub button in the top-left corner of the text editor.
From the Video Chat Screen
If you're conducting a scheduled telehealth session through Practice Better, you can access the Hub without leaving the video call.
- During an active telehealth session, click the Client Hub icon in the top-right corner of the video chat screen.
Using the Keyboard Shortcut
Press and hold Control + Shift + Z, then release to launch a Hub. This shortcut works on both Mac and PC.
- If you are working within a client's record (such as a session note or protocol), the Client Hub will open automatically for that client.
- If you are on your homepage or another general section of the portal, you will be prompted to select the client you'd like to open a Client Hub for.
📍 Note: The Client Hub is only available for telehealth calls conducted within the Practice Better platform. It cannot be accessed during external video calls conducted outside of Practice Better.
Navigating the Client Hub
When a Hub opens, it appears in the top-right corner of your screen. You can reposition it by clicking and holding the dark header bar and dragging it anywhere on your screen. Depending on the section you're viewing, you can also resize the Hub vertically and horizontally.
Click any section from the Client Hub's main menu — such as Medical History, Protocols, or Completed Forms — to view that area of the client's file. The Client Hub is read-only for most sections, which means you can reference information freely without the risk of unintended edits.
📍 Note: Unsigned session notes are an exception — practitioners can make edits to unsigned notes directly from within the Client Hub.
Copying Content from a Client Hub
You don't have to retype information you find in a Hub — you can copy it directly.
- In the Client Hub, navigate to the section containing the information you need.
- Hover over a field to reveal the Copy icon in the right corner.
- Click Copy to copy the content to your clipboard.
- Paste it wherever you need it in your note or protocol.
Creating Quick Notes
Need to jot something down during a session? The Quick Notes feature lets you capture notes for a client from directly within the Client Hub — without opening a full session note.
- In the Client Hub, click the Quick Notes button in the bottom-right corner.
- If you have note templates saved, they will be available to select here.
- Write your note and save. It will appear in the client's Notes section.
💡 Quick Notes are especially handy during telehealth sessions when you want to capture key points in real time.
Working in Fullscreen Mode
If you need more writing space — particularly when working on detailed notes — Fullscreen mode expands your text editor and gives you room to keep one or more Hubs open alongside your work.
- Open a session note or protocol.
- Click the Fullscreen button in the top-left corner of the notes editor.
- Your editor will expand to fill the screen.
- From Fullscreen mode, open a Hub using any of the launch methods above to reference your client's file alongside your work.
- Exit full screen by clicking the Fullscreen button in the top-left corner again.
Managing Multiple Hubs
By default, you can open multiple Client Hubs at once — for the same client or across different clients. This is useful when you need to compare information, such as viewing a completed form and a previous protocol side by side.
To open an additional Client Hub, simply use any of the launch methods described above, or using the (+) plus button at the top-right corner of a Client Hub. Each Hub opens as a separate floating panel that you can reposition and resize on your screen.
Adjusting Hub Settings
By default, you can open multiple Hubs at once.
To verify this setting:

Go to your Settings > Portal Preferences page.

Ensure you have checked Allow multiple client hubs to be opened for one client.
- Click Save Changes at the top-right.
If you prefer to limit each client to a single open Hub at a time, you can update this in your portal settings.
- Go to Settings > Portal Preferences.
- Locate the Client Hubs section.
- Uncheck the Allow multiple hubs to be opened for one client option.
- Click Save Changes near the top-right.
